  • Participant waivers: name, date, and signature as submitted through our participant waiver PDF forms.
  • Email correspondence: any information you send us via email at bookings@4playgolfingsim.com.

Information collected automatically

  • Cookies: We use a single httpOnly session cookie (members_session) for our members-only administrative area. This cookie is used solely for authentication and is not used for tracking, advertising, or analytics. No third-party cookies are set by this Site.
  • Server logs: Our hosting provider (Cloudflare) may automatically collect standard server log information such as your IP address, browser type, referring URL, and pages visited. This information is collected and retained by Cloudflare in accordance with their privacy policy.

Information we do not collect

  • We do not collect payment card or financial account information through this Site. Payments are handled separately (not through the booking form).
  • We do not use third-party analytics, advertising pixels, social media trackers, or remarketing tools on this Site.
  • We do not knowingly collect personal information from children under 13 years of age.

Your name, email, and event details are transmitted to Resend solely for the purpose of delivering those emails. We use Upstash (upstash.com) to store booking and quote data. We use Cloudflare (cloudflare.com) to host and serve this website.
  • Legal requirements: We may disclose your information if required to do so by law, court order, subpoena, or other legal process, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business transfers: In the event of a merger, acquisition, or sale of all or a portion of our business, your information may be transferred as part of that transaction.

5. Data Storage & Security

Your booking and quote data is stored using Upstash Redis, a cloud-hosted database service. Data is transmitted over encrypted (HTTPS) connections. Our website is served through Cloudflare, which provides SSL/TLS encryption, DDoS protection, and other security measures.

We take reasonable administrative, technical, and physical measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

We retain your personal information for as long as reasonably necessary to fulfill the purposes described in this policy, including:

  • Booking and quote data: retained for business records, tax, and legal compliance purposes.
  • Email communications: retained in our email systems as part of normal business correspondence.
